Part Time Receptionist/Front Support Office

Day-to-day specifics include, but are not limited to: answering the multi-line phone system, greeting visitors, managing and ordering office supplies, scheduling of conference rooms, re-stocking kitchen supplies, flowers and other general office duties as assigned. Also, provides administrative support to the Executive Assistant and Regional Leadership. The schedule for this position is 11:30am-5:00pm Monday through Friday.
Primary Duties & Responsibilities:
1. Manage multi-line phone system in a polite and professional manner and direct calls to appropriate Team Members.
2. Greet and direct all visitors.
3. Become the "Go To" person for fellow Team Members
4. Update the office extension lists, store list, and cell phone list on regular basis.
5. Update internal phone directory & contact lists on a regular basis.
6. Frequently check and reply to receptionist emails and return voicemail messages.
7. Maintain detailed Receptionist's Front desk Manual.
8. Order and maintain an inventory of office supplies and coffee supply.
9. Keep the kitchens stocked with supplies.
10. Maintain equipment: i.e. needs toner, repair or paper.
11. Receiving/logging packages, distribution of mail and other duties.
12. Correspond with building management for repairs or requests; liaison to deliver and repair persons.
13. Assist with the set up new Team Members and visitors with office space, mailbox, coordinate phone extensions with IT.
14. Provide administrative, secretarial support to the Executive Assistant as needed.
15. Direct customers with concerns or complaints to the appropriate person and handle when able to.
16. Contact store leadership/department coordinator with customers' questions.
17. Type and distribute memos as needed.
18. Liaison for Office and Cleaning company, ensuring all needs are being met
19. Ensure Support Office is following South Green Mission Standards
20. Maintain a professional atmosphere of reception area.
21. Maintain a good knowledge of company and Team Members' positions.
22. Assist with planning and implementing of Regional events, meetings, etc
23. Assist with booking Regional Travel for Team Members
24. Maintaining Regional Travel Credit Card and reconciling charges monthly through Concur System
1. Excellent customer service skills and ability to manage difficult or emotional customer situations well.
2. Excellent communication skills and extensive knowledge of reception procedures.
3. Minimum of one year of related experience.
4. Organized and detail-oriented.
5. Experience in high volume calls.
6. Can work in a busy environment. Extremely detail-oriented with the ability to handle multiple tasks in a calm and efficient manner; able to finish tasks without frustration, at times when there are constant disruptions.
7. Ability to effectively prioritize.
8. Strong computer skills. Proficient in MS Word, Excel and Outlook.
9. Must have good typing skills (50wpm).
10. Self-motivated, quick learner.
11. Positive attitude.
12. Flexible and adaptable.
13. Discreet, able to maintain confidentiality.
14. Creative.
15. Pro-active: take initiative to suggest more efficient systems when necessary

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
